From September 1st, what do employees need to check when their CCCD changes their social insurance number?

Hà Nam |

From September 1, Vietnam Social Security began the data conversion phase, gradually using personal identification numbers (CCCD instead of social insurance codes on nghiệp vụ software.

This is a change in the identification method, not changing the participation process, contribution - benefit data, value of health insurance card (HI card) or social insurance (SI) and HI benefits of participants. The conversion is carried out according to a roadmap; employees do not have to carry out new procedures just because of changing the identification code.

However, employees should proactively check their data to detect early cases where citizen identification card (CCCD) information is not synchronized, the wrong name, date of birth or the insurance participation process is not accurately displayed.

Check if the ID card number has been updated with social insurance data yet

The first thing employees should do is check whether the personal identification number/CCCD has been synchronized and verified with social insurance data or not.

Workers can check information on the VssID application - digital social insurance or social insurance lookup channels.

If the CCCD information is complete, accurate and verified with the National Population Database, the social insurance system will implement the conversion according to the roadmap.

It is necessary to specifically check: Full name; date, month, year of birth; ID card number/personal identification number; gender; information on social insurance and health insurance participation.

If information is found to be inconsistent, employees should contact the social insurance agency or the employer for inspection and adjustment.

Checking the social insurance payment process

This is the most important part for working people.

After logging into VssID, employees should re-check the entire process of social insurance participation, especially the periods of time they have worked at many businesses.

Payment start time; Payment period at each enterprise; Salary level used as a basis for payment; Are the months abnormally short or interrupted or not.

The change of identification code does not cause loss of historical data. Vietnam Social Security said that historical transaction data, the process of participation, enjoyment of benefits and electronic records that have arisen are inherited during the conversion process.

If a period of working has been detected but there are no social insurance contribution data, employees should keep the labor contract, salary scale, recruitment/dismissal decision and related documents as a basis for requesting inspection.

Check health insurance information and expiration date

Workers should also check health insurance card information, especially when preparing to go for medical examination and treatment.

Can be checked by:

Method 1: On VssID

Log in to the application → select "Health Insurance Card" → check information and usage value.

Method 2: On the Vietnam Social Security Electronic Information Portal

Go to "Online lookup" → "Search for health insurance card usage value".

At the social insurance/health insurance card code box, users can enter the social insurance/health insurance card code or the ID card number/personal identification number, provided that the information has been synchronized and verified with the National Population Database.

Need to check: Full name; date of birth; place of initial medical examination and treatment registration; validity/use value; time of completion of 5 consecutive years.

Checking the history of enjoying social insurance benefits

Workers should also check their benefit history on VssID, especially in cases where they have previously enjoyed: sickness benefits; maternity benefits; health recovery; unemployment benefits or related benefits.

The purpose is to ensure that the settled amounts are recorded correctly on the system.

If there is unusual information, employees should take screenshots, save relevant documents and contact the social insurance agency for comparison.

Check dependent data if they are participating in household health insurance

For people participating in household health insurance or with family members participating, information of each person should be checked.

Pay special attention to cases: changing CCCD; changing full name; changing date of birth; unupdated population information; participating in health insurance but the system does not fully display it.

Vietnam Social Security recommends that participants proactively check identification information and health insurance use value, and report early if the data is inaccurate.

If the data is wrong, what to do?

Employees should not arbitrarily register a new social insurance code just because they cannot find information according to CCCD.

First of all, it is necessary to determine where the error lies:

Personal information error → request to update and adjust data.

Lack of payment process → providing documents proving the working process and social insurance payment.

CCCD has not been synchronized → contact the social insurance agency to be checked for data verification.

Unupdated health insurance information → contact the social insurance agency or the unit performing health insurance participation procedures for inspection.

Vietnam Social Security affirms that the change of identification code is carried out according to a roadmap and does not cause administrative procedures just because of changing the identification code.

Where can it be checked?

Workers can use the following channels:

VssID - Social Insurance number: checking the payment process, health insurance information and benefits history.

Vietnam Social Security Electronic Information Portal: look up health insurance information and related data.

if health insurance information has been integrated, users can go to "Document Wallet" → "Health Insurance Card" to check.

Vietnam Social Security Customer Care Hotline: 1900 9068 for support in searching and answering questions.

The use of CCCD/personal identification number to replace the social insurance code is a change in the identification method on the system, which does not mean that employees lose the code or lose the previous social insurance payment process. Historical data and benefits are inherited during the conversion process.

Therefore, what workers need to do is not to "re-register for social insurance", but to proactively check identification data, the payment process and their rights to promptly detect errors.
