The solution is built from practical needs in digitization, management and document storage at units in the Corporation; and closely follows the Government's orientation on developing digital government, digital economy and digital society. With the application of modern AI, the "Digitalization and Smart Document Storage" solution has helped to strongly automate the data processing process, improve operational efficiency and significantly reduce manual operation volume.
The highlight of the solution is the ability to simultaneously apply many advanced technologies such as smart AI OCR, automatic document classification, large language processing (LLM)... allowing to extract, recognize and process data from many types of scanned text and documents with high accuracy.
If previously, entering a PDF document took 1-2 minutes of manual operation, now it only takes about 20-30 seconds thanks to the system automatically extracting and displaying data for comparison. With storage, the time to search for physical records is also shortened from 2-3 days to 1-2 hours. The solution currently helps reduce labor costs in the digitization and document entry stage by up to 75%.

According to Mr. Dang Thanh Hung - Deputy Director of the Innovation Center of Vietnam Post Corporation, the biggest difficulty in the process of developing the system is building a source of AI training data large enough and of sufficient quality to meet diverse digital nghiệp vụ problems. In addition, with the role of a national postal logistics enterprise connecting the delivery of confidential documents and safe storage on the document warehouse system in each locality, both managing on digital technology and ensuring safety on the physical warehouse infrastructure system, this is a difference in the digital storage solution of Vietnam Post Corporation compared to simple digital solutions of other units in the market.
In the coming time, Vietnam Post will continue to upgrade the "Digitalization and Smart Document Storage" solution in three key directions: optimizing user experience and improving data control capabilities; expanding document ecosystem recognition and enrichment capabilities; and developing flexible dynamic configuration features for specialized data fields to effectively process big data and unstructured data.
To date, Vietnam Post has participated in the implementation of many key programs such as the Government's Project 06; providing online public services; digitizing dossiers and administrative data; non-cash social security payments; receiving and returning administrative procedure results in the digital environment... on a nationwide network. In particular, in the process of coordinating the implementation of Project 06, Vietnam Post has completed the digitization of 14 population data fields, making an important contribution to helping the national population database project to be completed on schedule. The actual implementation process with a large volume of data, high requirements for security, accuracy and interconnectivity has helped Vietnam Post accumulate operating capacity, integrate and develop technology platforms for management and public service provision.
