Digital transformation in union financial management

Mr. Tran Van Nhu shared that the management of trade union finances is currently a top priority at the Vietnam Airlines Corporation Trade Union as well as at grassroots trade unions. When finances are stable and strong, trade union activities can be carried out well, ensuring the operation of trade unions at all levels.
The Vietnam Airlines Corporation Trade Union also aims to continue to implement digital transformation in the coming years, specifically: Digitizing financial documents and archived records; Using digital signatures; Accounting software programs that can use OL (online books), connecting between the server at the Corporation Trade Union and the Trade Unions at the grassroots level and grassroots trade unions.
"Implementing digital transformation is very important in the current context, especially for the field of trade union finance. To successfully implement digital transformation at the Vietnam Airlines Trade Union, it is necessary to have great support in terms of human resources from Vietnam Airlines Corporation and the Vietnam General Confederation of Labor," Mr. Tran Van Nhu affirmed.

Save time, effort and cost
To make the activities of grassroots trade unions effective and simplified in all aspects, many grassroots trade union chairmen have applied digital transformation.
Ms. Pham Thi Hien (33 years old) - President of the union of a garment company with more than 3,000 employees in Nam Dinh said that digital transformation helps her perform her role as a union official better.
"Digital transformation not only helps our union activities take place effectively but also saves a lot of time, effort and costs," said Ms. Hien.
Talking about the practical applications of digital transformation, Ms. Hien shared that she has used Google Sheets spreadsheet software. The advantages of this software are that it is completely free, can be used online and conveniently assigns tasks to members.
According to the female union official, this software allows everyone to access the same work file anytime, anywhere for easy monitoring, knowing clearly the responsibilities and performance of themselves and others. All edits are updated online, without having to send back and forth to different departments multiple times.
The survey and reception of opinions from union members and employees in the company was conducted by Ms. Hien through the Google Forms survey management software. According to Ms. Hien, just by scanning the QR code or accessing the link, you can easily fill in information, make suggestions, and want to make it public or confidential.
If the company is full or has at least 2/3 of the union staff, Ms. Hien will prioritize direct meetings, record the meeting to send to those who are absent. In urgent cases or outside of working hours, if it is not possible to meet in person, Ms. Hien will use online meeting software such as Zoom, Google Meet.
Ms. Hien also exchanges information daily through social networks such as Facebook and Zalo. The female union president skillfully utilizes the features of each platform to use them effectively.
“On the Facebook platform, we mainly build Fanpages to convey activities. On the Zalo platform, people can freely share their thoughts, wishes, life stories, and work. I also often use the appointment reminder feature on this platform because I find it very useful,” said Ms. Hien.
In addition, when the company has consulting programs on employee rights, Ms. Hien always asks for union members to participate in both forms - in person and online to improve their knowledge.
Not only that, Ms. Hien also spends time learning about union knowledge, laws, labor policies and software to help create content, design impressive images and videos for work.
“Social networks are becoming more and more popular, and the content they convey must be vivid to attract viewers. Every day, I spend an hour learning how to edit photos and videos and find information through AI applications,” said Ms. Hien.
Discussing further, Ms. Hien said that she is using Canva to edit photos, CapCut to edit videos, and ChatGPT to search for information and write articles. The union chairwoman shared that her current level of skills can meet the job requirements at a fairly good level.
Sharing about the difficulties encountered in applying digital transformation, the female grassroots union official said that the Internet and equipment issues are something she always worries about.
Because union members do not always have Internet access to access and read information immediately. When using photo and video editing software, it is necessary to have a computer or phone with a strong enough configuration to operate smoothly. However, with limited income, not all union members, workers or grassroots union officials have enough money to own it.
